Approval to prepare one sample can be mistaken for approval to produce every item. Write down the decision the customer is actually making before expanding the work.
Define the sample question
State the proposed wording, artwork version and the feature being reviewed. The question might concern layout or readability rather than every aspect of the eventual order. Keep the sample quantity separate from the proposed full-order quantity.
Use a plain status such as sample requested, sample awaiting review or full order approved. Avoid a single approved checkbox that leaves its scope unclear. If the customer changes the artwork after seeing the sample, identify the new version and whether another sample is needed.
Keep the handoff explicit
Retain the customer’s sample response with the matching image. Before treating a larger order as ready, confirm the artwork, quantities and unresolved questions in one record.
